Caldwell requires an Administrator to oversee document control for multiple CMI projects as well as day-to-day clerical duties.

DUTIES AND RESPONSIBILITIES

Projects

  • Document control and Teams organization
  • Create, transmit & follow up on execution of Purchase Orders & Subcontracts as requested
  • Assist with Narratives, RFI’s, Letters, and other correspondence generation and distribution daily
  • Assemble, log, transmit, and track submittals as needed
  • Generate, execute and transmit AIA billings to owners (most projects) monthly
  • Assist with maintenance of CMI website
  • Prepare pre-qualifications

General Office

  • Open, sort, and distribute incoming mail.  Prepare, post, and transmit outgoing mail (UPS, FedEx, USPS) daily
  • Maintain office machines (Paper, toner, jams) daily
  • Call for supplies/maintenance of office machines (Paper, toner, irreparable jams, error codes) as needed
  • Arrange travel (Registration, Air, Hotel, Car) when requested
  • Throughout the year maintain our paper filing system (Box up closed jobs, label, send to dry storage)
  • Cover the front desk periodically

QUALIFICATIONS

  • High School Education required (Some college education would be beneficial)
  • In-depth working knowledge of relevant computer applications (Excel, Word, Outlook, Adobe, Internet) and familiarity with office machines (Copiers, Scanners, Fax Machines)
  • Must be able to multitask, be organized, be aware and respectful of deadlines as well as possess a keen attention to detail
  • Can work independently and manage one’s own time and tasks
  • Adept at proactive problem-solving and follow through
  • Possess excellent oral and written communication skills
  • Construction industry experience would be beneficial
